Organize a clinic hiring workflow from posting to offer

A practical workflow for writing healthcare job postings, reviewing applicants, recording decisions, and closing filled roles.

Define the role before publishing

Agree on the responsibilities, care setting, location, schedule, and required qualifications before drafting the listing. Use a job title a candidate can recognize. Separate essential requirements from preferences so an applicant can understand what the team needs.

Include the employment type and a clear description of the work. Add compensation information you are authorized to publish. Do not fill a missing detail with an estimate just to complete a field.

Give applicants a clear next step

Describe how candidates should apply and what your team expects to happen next. Keep the posting current when responsibilities, location, or availability change. Practica’s clinic tools are free; a clinic account can create and close job postings.

Use your clinic’s details consistently. A recognizable employer name and an accurate location help candidates distinguish your role from other listings.

Review candidates using the same criteria

Write down the job-related criteria your team will assess. Review experience against the role rather than relying on a title alone. Candidate profiles and license information are self-reported; verify qualifications through your own hiring process.

Discovery on Practica includes candidates who opted in. Applying shares a candidate’s profile with the hiring clinic. Treat access as part of a hiring workflow and keep private notes focused on the application.

  • Record what you need to verify.
  • Use consistent interview questions for the role.
  • Keep each application’s stage current.
  • Record a specific next step after each review.

Close the loop when the role changes

Move applications through the available stages as decisions are made: Applied, Screening, Interview, Offer, Hired, or Rejected. Use private notes to preserve relevant context for the next review.

Close a listing when it is filled or no longer open. If a new need differs materially from the old role, review the description before publishing again. Current listings reduce unnecessary applications and make your team’s records easier to use.
